SCHOOL ADMISSION
 
Admission Procedure :
1. The new academic year of the school commences on or around 15'" June every year. Therefore, it is necessary to complete the procedures for the admission before June. In the School, the education is imparted as per the syllabus and books recommended by Gujarat State Education Board for Pre-Primary, Primary, Secondary and Higher Secondary sections in English & Gujarati Medium.
   
2. As a medium of instruction is English in English medium, children are required to be able to understand English language comfortably.
   
3. For admission in K.G. section of English/Gujarati medium, only age criteria as per institute norms & personal meeting with parents will be considered. There will not be any test or interview for K.G. section.
   
4. On the basis of vacancy, the opportunity will be given to the students studying in upper classes as per the rules and regulations of the institute. Application from must be registered within the time limits along with the result of the previous class & other related documents.
   
5. It should not be considered that the student is admitted in the school by simply registering the application form. The decision for the admission by the management shall be final and binding to all
   
6. Assessment for admission in higher class is through a performance in the applicable examination/test and informal interview conducted between the management & child as well as the parents.
   
7. Applicable examination/test & interview for admission take place usually on the first sunday of February for English medium & second sunday of February for Gujarati medium every year.
   
8. For classes ll upwards, the student must score at least 55% marks in applicable written test to be able to qualify for admission.
   
9. For Higher classes, successful student will be given provisional admission on vacancy and wait listed in absence of a vacancy in the desired standered considered for the first available place.
   
10. The student will be treated as admitted in desired class only after submission of annual rsult of paresent year & original school leaving Certificate before the commencement of school.
   
11. New student wil not normally be admitted to 10th & 12th stadarad.
   
12. For Std. xl (Science Stream), Gujarati/English medium, School/hostel admission form will be distributed immediately after the declaration of the result of SSC and must be registered within the prescribed time limit.
Carrier Educational Programme :
13. Carrier educational proframme for national/international level competitive exam (llT/JEE/ AIEE/ PMT /GUCET/ NSO) preparation will be conducted from standard 7 to 12 of English /Gujarati medium students of our Institute. Intersted student/parents has to pay separate fee for the same.
Fees :
14.
The school is managed by the trust on self finance base without taking any assistance from government or donations. There are two types of Fee viz., The School fee covers all of thw teaching, stationary & activity fee and Service Fee (Service provided in order to maintain uniformity & discipline and also for the convenience of the parents) covers snack/meals/transport/uniform (if applicable).
   
15. Fee Structure of the school obtained from the office notice board and must be paid as per the schedule. Fee structure is revised annually.
   
16. At the time of admission the student needs to pay admission fee, refundable security deposit, first term fee, conveyance and uniform fee within three days.
   
17. The student has to pay non refundable one time admission fee of Rs. 2500/- after granting admission
   
18. There is no fee collection at school. Fees will be collected by the any branch of state bank of india on all working days.
   
19. The Fees paid beyond the stipulated schedule is considered late fees requiring penalty to be paid according to norms of institute without any arguments/hesitation.
   
20. The parents who are interrested in availing admission in the hostel should considered their familial/ social/economic conditions, positive -negative consequence & the consent of the student. Fee will not be refunded in case of withdrawal on any flimsy reason by alleging strict rules and regulations/ deteriorating health/ no iterest in hostel or any other reasons or excuses.
Security Deposit:
21. Every student on admission in to institute needs to pay security deposit as laid down by the school management from time to time. This deposit is non interest bearing and is refundable upon the student passing out/ leaving the school.
   
22. Any unpaid dues of the student shall recovered from his/her security deposit.
   
23. The security deposit shall be refundable by cheque at the end of concerned academic year (in the month of May/June) of withdrawal passing out of student after adjusting un paid dues if any.
Imprest Deposit :
24. An imprest deposit is made at the beginning of the term.This system has been put into place to avoid Cash transactions through the student for such activities as for entry to competitions, uniforms,trips consume book and stationary etc.
   
25. All charges for the above mentioned activities will be debited to the student's account with prior approval/information to the parents. A detailed statement of the expenses included under this category will be issued at the end of academy year.
   
26. The parents will be required to replenish the used amount at the begining of following academic year
Withdrawal/ Refund :
27. Parents/Guardians are required to notify the management in writing of the withdrawal of the student.
   
28. All withdrawn students must submit the withdrawal form signed & Signifying all dues cleared and return of all amenities including text books/ equipment. No school leaving certificate/annual result will be issued.
   
29. The amount of any type of fee (except Deposit amount) will not be refunded under any circumstances before/after availing the facilities of the school for the reasons whatsoever cited by the student/parent.
   
30. Payment of fees as per the schedule is very essenial. If the fee is not paid beyond the end of the schedule are indicated in the fee receipt,the child's name would be struck off from the school's re and all dues shall be forfeited from security deposit.
   
31. School Leaving Certificate and other necessary documents shall not be issued without payment of all unpaid fee.
   
32. Name of the student will be removed from the School Muster/Records on repetition of delayed payment/or inability on the part of the parent.
   
33. The Conveyance fee/uniform fee/ stationary fee are non refundable in any case.
   
34. If the school expels a students for behavioral issue, the fee will be charged for the term in which the withdrawal takes & place the refundable security deposit will be forfeited.
   
35. The student with unpaid fees in full or in part will not be allowed to sit for examinations.
   
36. The fee once paid is not refundable/transferable in favour of nay other student /s.
School Conveyance Facilities (If applicable) :
37. The Institute provides conveyance facilities to the students for those who are residing within the radius of 30 kms.from the school on the following routes. It is mandatory for the students who reside on the Bus routes to avail this facility for attending the school and returning to their respective homes.

38. The day school student has to pay Rs. 1500/- extra towards the bus facility.
   
39. The parents have to pay additional expanses due to rise in prices of diesel, Transport/RTO taxes any time during the year.
   
40. There will be only one pick-up point on a particular bus route in the places mentioned above and therefore, it is necessary to reach the point in time. The parent is responsible for leaving the student at his own expenses at school in case of failure in this respect.

HOSTEL ADMISSION
 
Hostel Need And Facility
1. The hostel facility has been started by the Chhotubhai A. Patel Academy under the auspices of Shaktikrupa Charitable Trust with a view to raise the educational standards of rural people and also for availing higher level education.
2. Our hostel provides sufficient space in each and every room for each student along with the required furniture, reading  hall, library, lodging & boarding, T.V. / Computer facilities etc.
3. Under the auspices of Shaktikrupa Charitable Trust, academy conducts sports as well as cultural and spiritual activities to bring out their hidden talents and get name and fame by participation in various  state and national level competitions, Institute  committed for all round development of students.
4. A matured hostel warden keeps their constant and compassionate touch with the students and takes care of their needs and problems. The institute  is taking due care to provide nutritional and balanced diets to the students in a peaceful environment.
5. In order to develop the social, cultural and spiritual developments of students, the festivals are celebrated with the support of community on the occasion.
6. The student admitted/studying in Shree Chhotubhai A. Patel Learning Institute is eligible for admission in the Hostel on the basis of merit and vacancy.  The payment of fees in time is a pre-requisite for eligibility to continue hostel accommodation. The School  Leaving Certificate shall be retained with the Office till the Clearing of outstanding d1ues towards hostel / any fees.
7. The  Institute gives due importance for quality educaton and maintenance of discipline. The institute is not responsibale for any untoward incidents due to the  indispline/misbehaviour of students or their parents /representatives. In such case He/she shall be rusticated fromthe hostel.
   
8. The admission of the students and their continuation in the hostel shall depend upon the medical reports/fitness certificate issued by the institute hospital only.
   
9. All the students are required to follow the rules and regulations of the hostel strictly during their stay in the hostel.
   
10. The power of granting or denying admission to the students in the hostel rests with the institute and cannot be challenged. The Institute will change the rules and regulations from time to time as per the situation/requirements and the same shall be abided by the parents. Cooperation of the parents is very essential for all round development of students.
   
11. All are requested to resolve the disputes/problems with proper understanding and discussion with the concerned authorities. In the context of any unresolved disputes/problems shall be settled under the jurisdiction of Hon'ble Court of Shinor
School Uniform :
12 The Institute will provide school uniform and Games uniform on payment of separate fees.

4. Socks-2 Pairs.

6. Sports Shoes-1 pair.
   
13. Other necessary items such as Towel,Napkin,Pillow, Bedsheet,Blanket Soap,Tooth Brush, Tooth paste, Hair oil, Shampoo etc., shall be issued by the Institute.

The number tag should be stiched on the School and Games Uniforms issued by the Institute.
Personal Dress :
15. Hostel inmates are requested to wear the suitable and clean dresses for their daily use as per the customs and traditions of our Indian culture.
   
16. The students are reqired to bring under garments/cloths from home as per the initial list given by the Institute. The number allotted to the students should be written by permanent ink or tag labels should be affixed. The following dresses should be brought from the Home:
  1. Coloured dress-4 pairs.
  2. Underwear -4 Nos
  3. Banian -4 Nos
  4. Coloured socks -4 pairs.
  5. Handkerchief -4 Nos.
  6. Night Dress-2 Nos.
  7. School Bag-1 No.
  8. Slipper or Ordinary Footwear -1 No.
   
17. Only four pairs of coloured dresses are to be given to the students. The easy to dry,dark cloured pants (no jeans or thick cloths), Tshirts with no buttons are preferred. All the clothes brought from the home should be stitched with number tags.
   
18. If possible,dark coloured half pants /full pants, collar less T-shirts without button suitable for night dress are preferred.
   
19. Only one pair of slipper should be brought from home. The Institute will provide school/Game shoes on payment of uniform fees. Students are not allowed to keep another pairs of shoes in the hostel.
   
20. The parents should show the under garments and coloured clothes to their child before bringing the same to the Hostel, So that they can identify the same easily during their stay in the Hostel.
Medical Treatment :
21. The parents should train their children to inform the status of their health to the hostel warden / Superviser /Office voluntarily & promptly,
   
22. It is desirsble to create consciousness for maintaining good health amongst the children and also intimate in written about the treatment given for major diseases/physical disabilities/ diseases from birth for taking suitable care/treatment of the student.
   
23 periodical medical check-ups of the students & available medical treatment will be carried out at our own community health center at their own cost as per the rules of the hospital.
   
24 parents will be intimated in case of further special treatment to be given in other hospital.
   
25 In case of student having any allergy,infection or any serious disease, the medicine and other required materials should be given & trained him /her by the parents for regular medication.
   
26 It is advisable to take the student to home in case of nay infectious skin diseases.
   
27 It is also advised to give vaccination for chicken pox & other communicable diseases with a view to control the spread of such diseases in hostel.
Meeting & Message
28. The only registered parents/guardians by the institute are allowed to meet the students or leaving them at hostel and taking them back as per the annual programme given by the institute.
   
29. At the time of meeting with the students, no relatives/friends of the parents should accompany with them.
   
30. parents are allowed to speak with the student over the pelephone in the afternoon between 4.00 to 4.30 p.m. only on birthday of the student.
   
31. parents can send the messages to their children through post card once in a month.

Mobile Phone :
32. Mobile phones are strictly not allowed if the student found with mobile phone,it shall be considered as a serious offence and it may even lead to the suspension of the student from the school /hostel.
Vacation / Leave :
33. The regular feature of going out and coming in due to the frequent granting of leave to the children may create a negative impact on them and a sense of home sickness will grow amongst them. it is not advisable for us to grant leave to the students quite often & leave is granted as per the strict observance of rules laid down by the institute.
   
34. Over and above the pre-fixed annual programme, the children are allowed to proceed on leave on the occasions of the death of any close relative of the family.
   
35. Students requires leave in case of sikness, will be granted based on the medical report of the doctor of the institute. paents are requested to submit xerox copy of the medical treatment report issued by the doctor to the hostel administration
   
36. The leave shall not be granted for any marriage/social function/outings of general nature. The leave will be given in case of any unavoidable social function of blood relatives with te prior permission of the hostel authorities.
   
37. However, notwithstanding the rules and regulations regarding leave, if the parents are so interested to take their children for a particacular occasion,then they are required to pay Rs.100/-per day and that too after
   
38. The parents are required to leave their children at the hostel as per the schedule of the programme and in case of the failure in this respect,they have to pay an amount of Rs. 100/-per day as fine for the default on their part.
   
39. Leave shall not be granted under any circumstances during the months in which the examinations are held as per the annual academic programme.
Cash & Valueable Belonging :
40. As the basic amenities are provided by the management, parents are not required to give money or any valuable to the student. students found with such items shall be considered as indiscipline.
   
41. Students are not allowed to keep any money in cash, radio,camera,walkman,gold/silver ornaments and other valuables with them, as the hostel rooms & cupboards have no locks. The institute shall not be responsible for any theft/loss of such items or such on the part of the students.
Snacks & Meals 
42. The institute is providing tastey & nutritious full meals and snacks, the parents are advised not to bring any food packets/items for the students.
   
43. The students will be given an opportunity to learn the preparation of foods in the canteen on saturday and sunday
Discipline :
44. Students shall have to strictly follow framed rules and regulations for self-discipline by institute.
   
45. The student may be given one or two opportunities to dissuade from in-disciplinary actions on their part.The student will be rusticated from the hostel if they continue to behave in an unruly manner neglecting the advice of concerned authority even after persuading them. The parents are requested to give proper advice & guidelines in this respect to their children.
   
46. In case,any student is harassed by the other student/s, then he/she is advised to contact thehostel warden/supervise/Admistrative staff and inform the name/s of the trouble maker, so that suitable action can be taken against him/her.
   
47. In case, any student does any undesirable acts, then the hostel warden/superviser/Administrative staff will take disciplinary action by his/her parents.
Sports/Games & other Activities :
48. The Institute shall give due importance for the sports/games and other co-curricular activities meant for the students. The students who are eligible & competent and selected by institute shall be selected by Institute shall be allowed to take part in such activities at their own expense and responsibilities.
Bathe & Toilet Facilities :
49. The Institute shall provide facilities for toilet and bathe. During summer season(February to September) the students are allowed to take bath for two times without warm water. In case of unexpected rain or cold, the institute will try its level best to provide the warm water supply. However, from November to Mid of February (winter season) warm water facility shall be provided.
   
50. The students who are studying in Secondary and Higher Secondary divisions have to wash their inner clothes on their own. The soap powder for washing the clothes shall be provided by the institute. The Institute shall not be responsible for any injury or loss caused.
Room Facilities
51. The institute shall provide facilities for staying 8-10 students of primary section of English/Gujarati medium whereas for the Secondary and higher Secondary sections, 4 students shall be accommodated in each room.
   
52. Each student shall be allotted separate bed, mattress, bed sheet, pillow and cupboard on mutual sharing basis.
   
53. There shall be four/two fans and two/one tube lights in each room. fans shall give air on similar rate on the regulators are not provided for the safety purpose.
   
54. In order to control the mosquito menace, mosquito mats/mosquito coils shall be placed in each room. The student may have to buy the required cream at his/her own expenses in case of having the allergy.
   
55. The institute does not provide/allow mosquito net.
   
56. The students shall not be allowed to read at their own hostel rooms as there is separate reading hall. As per the rules of the instutute, from 10.00 P.M. to 5.00 A.M. the tube lights shall be kept off. The students those who are studying in xth & xllth Stds. shall be given separate facility for reading.
   
57. The expenses towadrs any damage of the facilities in each room shall have to be borne by the students living in their respective rooms.
   
58. The students shall have to voluntarily clean/swab their individual rooms on every sunday on co-operative basis.
Education :
59. The institute shall provide remedial classes in the afternoon fom Monday to Friday (2:00 P.M. to4:00 P.M.) over and above the regular classes and periodical tests are conducted to assess their performance.
   
60. For the students of xth & xllth Std. of Scince stream, experts and experienced teachers are specially called periodically for giving further guidelines in their topics over and above the regular teachers. periodic tests will be conducted for the students studying in xth & xllth Std.
   
61. The institute shall also organize carrier Education programmes of national & international competitive exams for intersted students. The expense for such programmmes shall have to be borne by the students.
   
62. In the normal course, it is believed by the parents that by getting admission in hostel, their children are going to score higher results. However , in spite of the best eforts by our Teacher , some students may not be able to improve their results; in cases the institute can only sympathies with them.
Are You Interested To Educate Your Child By Providing him The Accommodation At The Hostel  
63. Your relatives and yourself must develop a mentality to stay away from your child and also should prepare him/her to get educated at a distance place from his home and surroundings of his near and dear ones.
   
64. You have to train him / her as how to do the daily routines such as taking bathe, combing hair, folding the clothes, going to natural calls , wearing shoes/foot wears and tying the lace of his/her shoes etc., on his/her own.
   
65. You have to teach him / her the ways by which he/she can identify his/her own belongings.
   
66. You are supposed to meet your child as per the timings allotted under the rules and hence you have to be cautious and conscious.
   
67. Your relatives or yourself shall not be allowed to give the meals prepared outside the premises of the institute. In case of any complication/difficulty arise to him/her or his/her frinda due to such meal, the entire responsibility for the same shall have to be borne by your relatives/yourself.
   
68. Management can amend rules as per requirement and situation and cancel admission of a child during the term.
   
69. If the parents wish to withdraw their child from the hostel , admission in the school will also be cancelled automatically.
   
70. You will not be allowed to give chocolates/sweets and other gift articles on the occasions of his/ her birthday. only registered parents/guardians will be allowed to wish him/her by phone as per the timings allotted by the Institute (4.00 to 4:30 P.M. ).
   
71. You have to be mentally prepared for the absence of your child in important familial / social and religious occasions like marriage, celebration of birthday, festivals or any party and also on the occasion of the arrival of your relatives from abroad etc. in view of his/her stay in the hostel for his/her education without any sort of arguments with the staff members in this respect?
   
72. In case of any serious disease/injury caused due to accident/paricipation in sports/games,you may be called for his/her further treatment outside the campus.
   
73. If the child suffers from asthma/epilepsy/kidney dis orders /any kind of major illness, admission will be cancelled any time from the hostel and school.
   
74. You are supposed to make compensation for causing damages to the furnitures / fixtures and other valuable items of the Institute due to the mischievous / violent acts of your child.
   
75. Your child may have to wear clean dresses in a decent manner, talk in good and civilised language & must maintain a loving and pleasant attitude with his/her class mates/teachers for congenial and pleasant atmosphere in the campus.
   
76. As in usual course, the Institute receive large number of applications for admissions to the School every year, it is mandatory to pay the fees regularly and within the prescribed period. however, under any circumstances,the child is withdrawn from the hostel in the beginning/ in the middle of the academic year, the fees deposited shall not be refunded in any case. Further,any recommendations from any quarters/influential persons will not be considered for refund of fees.
   
77. The Management reserves the right to suspend/ dismiss/ terminate a student if he/she does not conform to the students code of conduct. Acts of indiscipline as listed below will severly dealt with
 
- Regular late coming after vacations / parents meet.
   
- Not adhering to the hostel/school & dining room etiquettes.
   
- Misusing /damaging school /hostel property, scribbling on walls, furniture, bulletin boards , toilet walls etc.
   
- Mishandling equipments.
   
- Inciting other students by disturbing circulars / pampelets.
   
- Openly disobeying rules & regulations.
   
- Using vulgar & objectionable language .
   
- Displaying violent behaviour insuboardination & contempt of authority.
   
- Holding possessions of electronic gadgets such as mobiles/MP3/CD players, camera, electronic games etc.
   
- Chewingums, pan &pan masalas, banned drugs, cigarettes&any unlawful items of  consumption.
   
- Leaving the hostel/ school premises without the permission knowledge of the authorities.
   
- Misusing the communication facility.
   
- Any help fro the regular students either for sending messages   across or to get any kind of material from outside.
Admission
78. The admission forms are distributed in the month of January every year. No guarantee is given for admission after submitting the filled admission forms.
   
79. The admission in Hostel shall be given to students who have availed admission/already studying in shri chhotubhai A. patel Learning Institute considering their academic performance/nature/behavior as well as the availability of seats in the Hostel.
Hostel Fee 
80. The students who are granted admission in the Hostel has to pay an amount of Rs. 10,000/- towards security deposit amount (after settlement of amount as per account if any ) shall be refunded at the time of leaving the Hostel.
   
81. The students who are interested in availing the admission in the Hostel after declaration of the admission list have to pay an amount of security deposit, Admission fee, First term fee & uniform fee within three days.
   
82. The fee of the 2nd term shall have to be paid without fail before the beginning of the 2nd term itself as per rules.
   
83. Student availing admission at any time during academic year has to pay all the fees of academic year.
Security Deposit
84. Every student on admission in to institute needs to pay security deposit as laid down by the school management from time to time. This deposit is non interest bearing and is refundable upon the student passing out/leaving the school. The students have to pay an amount of Rs. 10.000/- towards security deposit.
   
85. Any unpaid dues of the student shall recover from his/her security deposit.
   
86. The Security deposit shall be refundable by cheque at the end of concerned academic year (in the month of may / June) of withdrawal passing out of student after adjusting un paid dues if any.
Imprest Deposit
87. An imp rest deposit is made at the beginning of the term. This system has been put into place to avoid cash transactions through the student for such activities as for entry to competionary etc.
   
88. All charges for the above mentioned activities will be debited to the student's account with prior approval/information to the parents. A detailed statement of the expenses included under this category will be issued at the end of academy year.
   
89. The parents will be required to replenish the used amount at the beginning of following academic year.
Withdrawal of the Student and Refund of Fees
90. Any amount of any type of fee (except Deposit amount) will not be refunded under any circumstances before/after availing the facilities of the hostel for the reasons whatsoever cited by the student/parent.
   
91. If the school expels a student for behavioral issue, the fee will be charged for the term in which the withdrawal takes & place the refundable security deposit will be forfeited.
   
92. The student with unpaid fees in full or in part will not be allowed to sit for examinations.
   
93. The fee once paid is not refundable/transferable in favour of any other student/s.
   
94. Any refund of Fees (if any) will be paid through cheque at the end of concerned academic year(in the month of May/June) only.
Hostel Facilities 
Our Institute has separate Residences of 25,000 sq.ft. area for more than 110 girls & 50,000 sq. ft. area for more than 250 boys with 2 separate reading halls of 7,500 sq. ft. each.
   
Boys hostel with 5 stories, in which semi basement floor is used for reading,Meditation,yoga & other activities, ground floor with 7 rooms for 8 to 10 students in each room, First Floor with 8 rooms for 8 students in each room, second floor with 16 rooms for 4 students in each room, Third floor with 16 rooms for 4 students in each room. separate Toilet Block of 4 story with 56 W.C., 56 Bathrooms & 56 wash basins, equipped with laundry/drier machine,ironing & hot water facilities.
   
Girls hostel with 3 stories, semi basement floor is used for reading, Meditation, Yoga & other activities, Ground floor with 7 rooms for 8 to 10 students in each room, first floor with 14 rooms for 4 students in each room, separate Toilet units with 26 W.C.,26 Bathrooms & 26 wash basins, equipped with laundry/drier machine,ironing &hot water facilities.
   
Separate own bed with all bed linen & blankets, and wardrobe are provided to each student. Drinking water facilities available with water coolers.
   
We all take our well-balanced & nutritious pure Vegetarian mela together served with morning 2 breakfast, lunch, afternoon snack,dinner by seasonal vegetables and fruits in spacious & airy 17000sq.ft. Dining hall for 800 students.
   
Our Institute has full size hockey/football faields. 5courts of basket ball. 2 courts of Lawn tennis, 2 courts of volley ball, 75 Mt. Skating rink & Gymnasium with International competitive gymnastic equipments, etc. Special coaching is provided to hostel students in early morning & two hours in evening everyday by qyalified coaches for respective games.
   
Television with dish connection & theatre hall with LCD projector for all students is provided. Audio visual rooms are also provided for education.
   
Regular Medical check ups & Treatment for hostel students is provided by our own Community Health Centre.
   
Academic support is provided through Remedial classes to hostel students by our school teachers.
